How a physiotherapy centre turned ad leads into 161 booked patients by reaching each one first

An ad lead is only warm for a few minutes. Fisio For Life's AI agent contacts every one within a minute of arrival, qualifies it on WhatsApp, and hands the front desk a patient ready to book. 27 warm leads a month, from traffic that used to go cold.

What they wanted

  • Reach every lead coming from paid ad campaigns before a competitor does
  • Qualify each contact so the front desk only handles people ready to book
  • Turn interest into a concrete appointment request, ready for the desk to confirm
  • Do it without adding staff or asking the team to work evenings

What we built

  • An AI agent on WhatsApp that contacts every ad lead first, within minutes of arrival
  • Automated profiling that sorts serious patients from tyre-kickers before a human steps in
  • Each qualified lead handed to the desk with the appointment request ready, in one flow
  • Live in a matter of days, running on the centre's existing WhatsApp number

Who Fisio For Life is

Fisio For Life is a physiotherapy and wellness centre in Italy that fills its calendar through paid advertising. The ads work. The problem was never getting people to raise their hand. The problem was what happened in the minutes right after.

The problem: an ad lead is only warm for a few minutes

When someone clicks an ad and leaves their number, they are not committed. They are curious. They filled in a form for one centre, and often for two or three others at the same time. The one that calls back first gets the conversation. Everyone else gets silence.

A physiotherapy centre runs on treatments, not on a phone. The front desk is with a patient, or on lunch, or gone for the evening. The lead that came in at 13:20 gets a callback at 17:00, if at all. By then the person has already booked somewhere else, or lost the impulse that made them click. Nothing about that loss shows up in a report. The ad still counts as a click. The money is spent. The patient just never appears.

So the real cost is not a missed message. It is paid budget walking out the door. Every lead that cools off is an ad you paid for and a treatment you will never invoice. It happens quietly, one warm contact at a time.

The solution: reach the lead first, then sort it

Instead of waiting for the front desk to free up, the agent reaches out on WhatsApp under a minute after a lead lands from a campaign, while the person still has the ad in mind.

The lead that arrives at 13:20 gets contacted at 13:21

The agent writes first, on WhatsApp, while the person still has the ad in mind. 436 of the 468 conversations in this period were started by the agent, not by the patient. That is the whole game: speed to the lead, before it goes cold and before a competitor gets there.

Your front desk only talks to people worth talking to

Not every lead is real. Some are curious, some clicked by mistake, some will never book. The agent profiles each contact before a human is involved. Over the period it qualified 87% of profiled leads and set aside the rest. The team stops spending its day chasing dead ends and picks up conversations that are already sorted.

A qualified lead reaches the desk ready to book, not as another cold form

A fast answer is worth nothing if it ends in "we'll call you back." The agent carries the conversation until the patient asks for an appointment and states when they want it, then hands that request to the desk to confirm. The staff no longer chase and re-qualify. They pick up a warm lead who has already said yes and just needs a slot. That is what the 161 goals in the dashboard are: patients who asked for an appointment, ready for the desk to close.

But patients will notice it's a bot and walk away

This is the fear every clinic has before switching it on, and Italian law requires the agent to identify itself as AI anyway, so it does. It still worked. Over six months the agent brought in 161 appointment requests from patients who knew they were talking to software. Being upfront did not cost the requests. It is hard to argue with a calendar that keeps filling.

The results: 161 patients ready to book

Between 1 June 2025 and 1 March 2026, across 186 days, the agent handled 468 conversations, profiled 285 leads and qualified 87% of them, and brought in 161 appointment requests. That is about 27 warm leads a month, each asking for an appointment, from ad traffic that would otherwise have gone cold in the gap between the click and the callback.

The number the centre feels day to day is not on the dashboard. It is the evenings the team no longer spends catching up on leads, and the ad budget that now turns into patients asking to book instead of unanswered forms. The staff stopped racing the clock on every new contact, and the desk started its day with a list of people already waiting to be scheduled.
